A Personal emails campaign is for the email one person on your team writes to one other person — the follow-up after a demo, a call or a meeting. You add your notes, the AI writes the email, and you send it. Nobody is emailed automatically: each email goes when someone on your team sends it from the campaign’s Compose step.
Start one from New campaign: the card Personal emails (one-to-one, written with AI), under Email & push. For an email to everyone who joins a list, with nobody pressing Send, use Automatic AI emails, the Personal emails campaign that writes by itself.
The steps
| Step | What it holds |
|---|---|
| People | Who may be written to: the people in the lists you choose, or Anyone with an email address. No list means anyone. The lists are checked at every send. |
| Letter | The one design every email goes out in. A new campaign starts with A plain letter — just the words and your signature. Each email’s words go where the letter block {{personal_letter}} stands. |
| Instructions | What the AI is told for every email: What these emails are for, Links in every email, Tone, Language, Signature and What the AI checks first. Suggest with AI offers three sets read from your site; Try it on a person writes a sample, saved and sent to nobody. |
| Sending | Who the emails are from, where replies go, When you send an email, and Who approves and answers. |
| Compose | Write to one person and send it. |
| Performance, Replies | The email numbers, and what people wrote back. |
Notes about a person
Once a person is chosen on Compose, What your team knows about {name} shows the notes your team wrote about them. + Note adds one: What happened (its type — a Demo, a Call, a Meeting…), When it happened, and The note itself, up to 2,000 characters — the meeting summary. The AI uses it, never quotes it; your whole team sees it.
- Your notes, in the email, are for this one email only — kept with it, never sent. Tick Also keep it as a note about {name} to keep them as a note as well.
- + Add a person, above the list of people, adds someone new: Email, Name, Add to (any list), What happened and The note.
- Settings → Note types sets the types your team chooses from. Switch one Off or add + Your own type; a built-in type is never removed.
What the AI reads
For each email the AI reads the campaign’s instructions, your notes for this email, your team’s notes about the person, and everything known about them: their profile fields, their lists, their visits, the emails they had and their replies. When their address is at a company’s own domain, it also reads what Inspire me found on that company’s site, where it has read it, and it can name the company. It also reads what you taught AI Chat.
It is told never to invent a price, a discount, a date or a promise; to put every one of Links in every email in exactly as given; and never to quote tracking back — pages they viewed, emails they opened. A link it writes that is not yours is left as plain text, and the email waits for your edit. So does a draft that repeats words from your team’s notes.
Writing on Compose
People to write to lists everyone in the campaign’s lists. Show: Not written yet (your to-do), Written or All, with a search by name or email. Someone who cannot be written to says why, such as Unsubscribed from all your emails.
- Choose the person in To — from the list, by name or email, or a new address.
- Add Your notes, then press Write with AI. The subject and the email appear, marked AI draft – review, then send, and Written from: names the notes it used.
- Change anything. Write with AI again writes a new draft, asking first. Save draft keeps it; Discard draft drops it.
- Press Send.
Email this person, on a person’s profile and in About this person under Analytics → Off-site campaigns → Email replies, opens Compose with them chosen.
When an email goes
On Sending, When you send an email sets what Write with AI does:
| Choice | What happens |
|---|---|
| Show me the draft (the default) | The draft opens in the editor. You read it, change what you like, and press Send. |
| Draft with a countdown | The draft shows and goes when the countdown ends — Seconds before it goes, 3 to 60, 10 to begin with — unless you press Cancel or Edit first. The button reads Write with AI, then send in and the seconds. |
| Send directly | The button becomes Write and send with AI: the AI writes the email and sends it in one go, and it is listed below once sent. |
A sent email leaves within about two minutes. Cancel sending stops it only while it still waits in the queue, usually its first minute. Nothing is sent until the campaign is published and switched on — until then you can write and keep drafts. Send also waits while the published letter still shows the sample logo or has a button that goes nowhere.
Who can use the campaign
Any panel login that may make changes can write and send; a read-only login cannot. Who approves and answers, on Sending, decides who works the campaign from the operator screen — writing, sending, notes and replies, without the panel:
- Everyone who answers email — the default: everyone given Email under AI Chat → People.
- Only the panel — nobody in the operator screen sees this campaign.
- Only these people — the people you choose with + Add.
When your own login is also one of those operators, Compose shows Open in the operator screen ↗.
Where sent emails and their results show
- Emails written here, under the composer: every email, newest first, marked Opened, Clicked, Replied or Not delivered. Read the email shows it; a failed one has Open to send again.
- Performance: see Reading an email campaign’s report.
- Replies and Analytics → Off-site campaigns → Email replies: what people wrote back, with Track replies switched on in the Sending step.
Requirements and limits
- The card shows when your plan includes email. Sending needs the Email sending add-on and a sender chosen on Sending; without them you can still keep drafts.
- One person gets at most 5 personal emails a day. Your account sends at most 60 personal emails an hour and 300 a day, with those of Automatic AI emails.
- An email is refused to anyone who unsubscribed from all your emails or from this campaign’s, to an address on your suppression list, and to anyone outside the campaign’s lists. Not agreeing to emails on one of your forms does not stop a personal email.
- The panel’s AI assistant cannot write or send one.
