An Automatic AI emails campaign writes to people as they join one of your lists. When someone joins, the AI writes them their own email from your instructions, your examples and what is known about them and their company, then sends it or waits for your OK. Follow-ups can come after it, each one written for that person too.
It is the Personal emails campaign that writes by itself. Personal emails is for one email to one person, sent by you after a demo, a call or a meeting. Automatic AI emails is for everyone who joins a list: new sign-ups, new trial users, new leads.
Setting it up
In New campaign, open Email & push and pick Email everyone who joins a list, written by AI. It needs email in your plan and the Email sending add-on.
| Step | What it holds |
|---|---|
| When | The lists that start an email: 1 to 10. The campaign cannot be published without one. |
| Letter | The design every email goes out in. |
| The emails | Email 1, any follow-ups, and examples. |
| Instructions | What the AI is told every time it writes. |
| Sending | The sender, replies, review or not, and the caps. |
| Activity | Who joined, what was written, what waits for you. |
| Performance, Replies | The results, and what people wrote back. |
People join a list when you import them (Imported user data), when a form adds them with its Add to lists, or through the API. An action that adds visitors to a list also offers Send them an AI email, which opens a new campaign with that list already chosen.
Who gets an email
- Only people who join after you publish. Nobody already in a list at that moment ever gets one, and nobody who joins while the campaign is paused.
- The first email, once: once per person and once per address, whatever happens to the lists later.
- Crowds wait for you. More than 100 joining in one look, more than the campaign’s usual pace in half an hour, or people who joined while sending was not running: none of them is written to until you press Email them or Skip them on Activity. If nobody decides within 14 days, they are skipped.
- Each email waits for your OK, unless you choose Send by itself.
Some people are never written to: anyone who unsubscribed, is on your suppression list, didn’t agree to emails on your form, or left the lists. The same goes for anyone who replied to one of your emails in the last 30 days, because they are already talking with you.
The emails: Email 1, follow-ups and examples
Email 1 – when someone joins. With one kind, every first email is that kind. With several, the AI is told which list the person joined and picks the kind whose When to send this kind fits them. If none fits, it skips them. If everyone should get one, give one kind the “when” “Anyone the other kinds don’t fit”.
+ Add a follow-up adds Email 2, with Name of this email and What this email does. A line above it sets the timing: then wait [days] and send the next [to whom]. The wait is 1 to 30 days after the email before it was sent. It can go to everyone, or only to people who did, or did not, open it or click in it; when that does not hold for someone, their sequence stops there. You can add up to five follow-ups. A sequence ends when the person replies to any of your emails, unsubscribes, bounces or leaves the lists. It also ends when a follow-up is more than 3 days late, or when you press Stop follow-ups.
Examples: use Paste an email or Upload emails (.eml, .txt, .html or .htm) to add up to 10 emails you wrote by hand for each kind. The AI reads the newest five and matches their tone, length and structure, but never copies their facts.
Instructions, and trying it on a person
Nobody writes notes for these emails. The AI works from the Instructions (purpose, links, tone, language, signature), the kind’s examples, and what is known about the person: the list they joined and when, their visits and their company. It is told never to invent a price, a date or a promise. Suggest with AI reads your site and offers three sets of instructions to start from.
Try it on a person writes the email for someone you pick, or for Someone from your lists, and shows which kind they get and why. Check 10 recent joiners shows which kind each of the last 10 joiners would get, without writing any emails.
Sending: Review first or Send by itself
| Choice | What happens |
|---|---|
| Review first (the default) | Each email waits on Activity until you approve it. |
| Send by itself | Each email goes as soon as it is written. Some still wait for your OK: one the AI cut short, one with a link that is not yours, or one that repeats your team’s notes about the person. |
The caps are An hour (5 to 60) and A day (20 to 300), and follow-ups count toward them (they go first). Anyone still waiting after 3 days is skipped. Your whole account sends at most 60 personal emails an hour, 300 a day, and 5 to one person a day.
The Activity step
Each person gets a row with their list, when they joined, the kind of email, and where they stand (for example Email 2 of 3). The tabs are Waiting, Needs your decision, Drafts to approve, Follow-ups due, Sent and Skipped. Every skipped row says why.
- Drafts: press Approve, or Open a draft to edit it first. Approve all sends up to 100 at a time.
- Skip takes out someone who is waiting, held, or has a draft.
- + Add a person adds someone with a note about a demo or a call. On a live campaign, the AI writes to them right away.
When the AI cannot write
- The AI could not choose a kind: it is asked once more 15 minutes later, and skips the person if that also fails.
- The AI chose not to write: the address looked like a test or a team address, or there was nothing to write about yet.
- Writing failed: it is tried again after 30 minutes, 2 hours and 6 hours, within the 3 days.
- Waiting for AI budget: the person waits until the account’s AI allowance comes back.
- Waiting for your account’s sending limit: the email goes when the limit allows, and is dropped after 3 days.
Limits
- 8 emails in all (kinds and follow-ups together), 5 of them follow-ups at most.
- Emails go out in the letter as it stands, so replace any sample lines before you publish.
- A campaign whose lists hold more than 50,000 people in all looks for new joiners every 10 minutes, not every minute.
- The panel assistant can explain this campaign, but it cannot set one up or send its emails.
